Privacy Policy

We take your privacy very seriously. We will only use the personal information which we collect about you fairly and lawfully, in accordance with current legislation in England and Wales and we endeavour to meet current internet best practice, including but not limited to the Data Protection Act 1998 and the Privacy and Electronic Communication Regulations 2003. The following statement sets out our policy regarding the personal information which we collect through the www.leaveitlate.co.uk, www.leaveitlate.com and other related 'leaveitlate' sites which we operate (the "Website"). Please also see our Website Terms and Conditions.

1. General

We act as a booking agent to various Hotels (see the Terms and Conditions for more information). For the most part, where we collect or use your information we are doing so on behalf of the Hotel and we will pass your details through to them. One exception to this is where you provide us with information for marketing purposes (for example where you request copies of our newsletter). Here we collect and use your information in our own name.

This Privacy Policy sets out what sorts of information is collected, how it is used and by whom.

2. Information we collect

2.1 We collect information about you when:

2.1.1 you submit on-line booking information through the Website;

2.1.2 you submit contributions to our Website (such as posting information on Website message boards or submitting photographs to the Website); and

2.1.3 you submit the on-line "contact us" forms through the Website.

2.2 This may include your name, address, telephone number, email address, payment card details and any other information which you include within a form on the Website.

2.3 If you contact us by other means, for example by email, post or telephone, we may collect the information you provide to us.

2.4 We will collect sensitive personal information about you only with your explicit consent or where you have specifically provided this information to us.

3. Use of cookies

3.1 A 'cookie' is a text file that a website transfers to your computer's hard disk so that the website can remember who you are. Cookies only record those areas of a website that have been visited by your computer and for how long. You have the ability to accept or decline cookies by modifying the setting in your browser. If you would like to do this, please see the help menu of your browser.

3.2 Our Website uses 'session cookies'. These are temporary cookies which remain on your computer until you leave the Website and allow you to carry information across pages of the Website without having to re-enter information.

4. Information we use

4.1 We use the information collected to deal with your bookings and/or enquiries, to train our staff, to conduct quality assurance and, in certain circumstances, for marketing purposes. Information which you submit to us as detailed in 2.1.2 above may be used by us for any purpose and may be shared with any third party which we may select.

4.2 Where you submit on-line booking information through the Website, we use this information on behalf of the Hotel to deal with your booking and payment, together with any other issues which arise out of that booking (for example, booking cancellations). We may contact you in relation to these matters by telephone, email, post or other means. We may pass this information to the Hotel who may also use it in relation to these matters. Where you provide payment card details, we will pass this information directly through to our processing bank in order to obtain payment and we will not collect or use this information or pass it on to the Hotel. Our processing bank may use this information for a range of purposes relating to obtaining payment, including the detection and prevention of fraud.

4.3 Where you have indicated that you wish to receive marketing or promotional material, we may use the information ourselves and/or on behalf of any Hotel for such purposes. For example, where you submit an online "contact us" form, we may provide you with additional information relating to your query, for example providing details of Hotels which we believe may satisfy your requirements. Similarly, where you provide us with your contact details to receive our newsletter, you agree that we may contact you for marketing and promotional purposes.

4.4 At the time that we collect your personal information, we will usually provide you with a specific opportunity to indicate whether you want to receive marketing/promotional offers. If, at any time, you would like to opt-out of receiving future marketing and promotional material from us, you can simply complete and submit this form.

4.5 Where your information is sent to a Hotel or our processing bank, they will be responsible for holding and processing that information and for dealing with your enquiry.

4.6 Where dealing with your enquiry may involve passing information to third parties you will be made aware of this, unless this is already clear from the nature of your enquiry. In certain cases this may involve transmitting your personal information outside the EEA (European Economic Area). When we do this, we will ensure that the information is transferred in accordance with this Privacy Policy. By using the Website, you agree to us using your personal information in this way.

4.7 If you provide us with your contact details, we will take this as an indication that you consent for us to contact you by using those contact details.

5. Looking after your information

5.1 We take appropriate security measures in relation to the sensitivity of the information which we hold about you.

5.2 We will not hold your information on our systems for any longer than is necessary for us to meet the purpose of holding that information.

5.3 Where you have made us aware that the information that we hold about you is inaccurate or not up to date, we will update that information.

5.4 You have the right to request a copy of the personal information that we hold about you, upon payment of a fee. Please address any requests to the Leave It Late Administration Team at the contact address set out below.
